Microsoft Teams offers numerous functions beyond standard messaging and video calls, with monthly active users exceeding 320 million. As remote work and digital communication continue to grow, several built-in tools can help users manage their schedules and stay organized more efficiently.

Meeting countdown timer

Managing meeting durations can be difficult when multiple speakers are scheduled, often leading sessions to run overtime. To address this, Microsoft Teams introduced a meeting countdown timer in mid-2025.

Users can access this tool by selecting More in the top toolbar and clicking Timer, which displays a countdown in the top-left corner of the meeting. The timer can be set for up to 100 minutes and is visible to all attendees with presenter capabilities. It turns red as time runs out and flashes when the limit is reached. The timer can be adjusted or canceled at any time, though it functions exclusively in scheduled meetings rather than spontaneous calls, webinars, or live events.

Voice isolation

Background noise can disrupt calls when working in busy environments. Microsoft Teams provides a voice isolation feature powered by artificial intelligence to minimize unwanted sounds during meetings.

To use this capability, individuals must first establish a voice profile through the settings menu by selecting Recognition and following the voice capture prompts. During a call, users can toggle voice isolation on or off by clicking the dropdown menu next to the microphone button.

Live transcription

Catching up on missed information during a meeting is possible through the platform’s live transcription feature, which launched in 2021.

The tool operates near real time and remains accessible after meetings conclude, distinguishing between different speakers. Microsoft stated in a launch blog post that it does not store the data or utilize it for training its AI models. Meeting organizers or presenters can enable live transcription via the toolbar menu, provided their administrator permits it, which notifies all participants. Participants may also disable speaker attribution within their accessibility settings if they prefer not to be identified.

Find your drafts easier

Interruptions during message composition can cause users to lose track of unfinished thoughts. Beginning in March 2026, Microsoft Teams updated its platform to simplify locating unsent drafts.

An accessible list of drafts on the left panel of the chat interface displays any messages started but not sent, eliminating the need to search through chat histories. Users can choose to discard these drafts or return directly to the original conversation to finish writing.
